Manage projects, clients, people, and tasks
Yes you can. To do that:
- Go to Manage > Projects.
- Click on the project you’d like to configure.
- On the project’s form, find the option “Invoice Method” (4th one down).
- Choose “This project is billable” and select from the option of “task hourly rate” or “person hourly rate”.
- You’ll then find a column to put in rates for either tasks or people.
Archiving a project essentially turns it inactive. You and your staff won’t be able to track time to it, and you won’t find the project in your project dropdown when tracking time. All the hours that have been recorded to the project are not affected, and you can still access the project’s time reports.
To archive a project:
- Go to Manage > Projects.
- Click on the archive button for the project you’d like to archive.
To reactivate an archived project:
- Go to Manage > Projects.
- Click on Manage Archived Projects.
- Click on the project you’d like to archive.
- That’s it!
Projects may not be deleted once time has been reported to them. This is done to preserve the integrity of time entries across all people, projects and clients.
If you want to delete a project with recorded time, you’ll have to remove those time entries before you can delete the project.
An alternative is to archive a project, and your staff will no longer be able to track time to it.
To remove a client, go to Manage > Clients, click on the client you’d like to remove, and you’ll find a link on the right side to delete the client.
Note: you can only remove a client if it does not have any project or invoices associated with it. If there are already projects and invoices for the client, you’ll have to remove those projects and invoices before you can remove the client.
Navigate to the desired project via Manage > Projects. Click on a project and you will see a list of people currently on the project (you might have to scroll down a bit on the page). Click on the Add person button to add more employees or contractors to the project.
Project managers can:
- Approve hours on timesheets that belong to the projects they manage.
- View reports for the projects they manage.
- Add/remove tasks and people for the projects they manage.
- See project estimates reports, and the projects’ full reports (everyone’s hours).
They cannot see a project’s rates information by default. If you would like the managers to see the rates, you can go to Manage > Account Settings, edit preferences and change the options for Show rates to.
Administrators can do anything in the project: create and edit projects, clients, people, tasks, and invoices. Administrators can also change the account’s settings and upgrade or cancel the Harvest account.
You can assign someone as an administrator by going to Manage > People, click on a person’s name, and check the box for This person is an administrator. Only an employee can be an administrator.
Administrators receive an email when a timesheet is approved. You can turn this setting off by going to Manage > Account Settings, and change the setting for Approval alert. Note that if that is off, all administrators will stop receiving approved timesheet notifications.
There are three types of users in Harvest:
- Regular user: any person you add in your Harvest account starts as a regular user. A regular user can log in, track time, record expenses, and see reports of their own time.
- Project manager: you can mark a person as a project manager for a particular project. A project manager can approve timesheets (but only the hours that belong to the project they manage), and see the full report for the project they manage. By default, project managers cannot see rates information on reports, but you can go into Manage > Account Settings and grant them access. Read more about what managers can do.
- Administrator: when you create a person via Manage > People, you can check the box to make this person an administrator (note: only an employee can be an administrator). An administrator can do anything in the account: track time, approve hours, see full reports, and change all account settings, including billing method. Read more about what administrators can do.
It can be either – whatever suits you the best.
You can archive or reactivate a user by going to Manage > People. Click on a person’s name, and on the person’s profile page, you’ll find the link to archive or re-activate a user.
Once a user is archived, they will no longer be able to sign into your account. Their data will be preserved, however, and you will still have access to their data.
Users can also be added and removed on a project basis from Manage > Projects.
You can add new tasks to a specific project by going to Manage > Projects, and click on a project’s row to see its page. You can also add, edit or archive tasks on the Manage > Tasks screen.
You’ll have to add the task to your projects: under Manage > Projects, click on a project, and you can add the task to that project. If you’d like a task to be on all projects, when you create it under Manage > Tasks, be sure to click on the button Add task to all current projects.
Go to Manage > Tasks. The list of tasks under Common tasks will be the default set of tasks for all your projects. You can add or remove tasks, and adjust their default billable status and rates accordingly for your company.
| You cannot change a status of a task on a project, but you can remove or archive it. Under Manage > Projects, click on the project, under the tasks section you’ll see an ‘x’ button to the right of each task. Click on the button, and it will either remove it if there are no time logged to the task; or it will archive the task.
Once you archive a task on a project, you will not be able to track time for that task on that project. But the hours you have logged to the tasks are unaffected, and you can still see those hours under Reports. | ![]() |
| Go to Manage > Tasks, click on the task you’d like to delete, and you’ll see a trash icon to the left of the task name – click on it to remove the task.
If the task has hours associated with it, Harvest will archive the task, instead of removing it, so that your recorded hours are not affected. | ![]() |
We’d recommend putting numbers in your tasks’ names. For example: “1 – Discovery Phase”, “2 – Design”, etc. Harvest will sort the tasks numerically and alphabetically, so your tasks on the project will be in the right order.
